Tips for Writing Effective PTA Meeting Minutes

Writing minutes that are actually useful takes a little practice. Here are practical tips that experienced Class Advisers and PTA secretaries swear by:

  1. Prepare a template before the meeting. Fill in the header, section titles, and agenda items in advance so you’re not writing from scratch while also trying to listen.
  2. Focus on decisions, not discussions. You don’t need to record every word said. What matters is what was agreed upon — not a transcript of the debate that led there.
  3. Use past tense and third-person voice. “The adviser reminded parents…” not “I reminded the parents…”
